A contractor’s checklist for a Ristone project quotation

A useful quotation starts with a schedule the contractor can check against the drawings: product, size, quantity and unit on each line. For pier caps, coping and concrete cladding, add the finished dimensions, colour, site programme and delivery details. These let Ristone check the materials and logistics together.

1. Send a product schedule or measured drawing

Keep unlike units separate. A starting schedule might contain:

ItemSize or measurementQuantity or information
Four-way pier caps500 × 500 mm12 pieces, subject to checking finished pillar sizes
Three-way coping350 mm wide × 500 mm long46 pieces, with the wall-run sketch attached for checking
Concrete brick slipsModel and colourNet wall area in m², joint width and external corners separately

If quantities have not been calculated, send measurements instead. For pillars, give both finished sides. For walls, give the finished thickness and the clear length of each run between pillars. For cladding, give each face, openings, returns and corner heights.

Use the sizing guide and coping quantity guide to prepare the information. The final schedule must allow for joints, ends and cuts and is confirmed by Ristone.

2. Name the model and colour

Give the product reference and colour for every line, including caps and coping. Samples can be requested depending on the product and availability; the sample and transport terms are confirmed beforehand.

For a continuous visible surface, request the full quantity together where possible. Small shade differences between production batches are possible. If several project phases need the same finish, raise batch reservation and phased delivery at enquiry stage. Both are considered against the quantity and programme, rather than guaranteed automatically.

3. State the date needed on site

Distinguish the start of installation from the date the materials must arrive. Ristone supplies from stock and production to order, with the estimated lead time confirmed after checking production and transport. Include the sequence and quantities of any proposed phases.

4. Describe the destination and unloading arrangements

Send the country, full delivery address or postcode, vehicle access restrictions and the proposed unloading arrangements. Transport is confirmed before the order. Unloading is the buyer’s responsibility unless it is included in the transport quotation. Record any transport damage on receipt and take photographs.

Ristone supplies from Romania to the UK and the rest of Europe on a quotation basis, depending on product, quantity and destination. For the UK, transport, customs duties and import VAT are paid by the buyer.

Confirm transport and import charges before committing to the order. Do not assume an EU supply arrangement gives the same tax treatment for a UK destination.

Collection from the Ristone factory in Bacău county, Romania, is by telephone appointment. Discuss loading and transport arrangements in advance.

5. Include business and invoicing details

Provide the company name, billing address, contact person and relevant business registration or tax details. Ristone provides a written quotation and invoice for business orders. Payment terms are stated in the quotation and confirmed before the order. Ask for the tax treatment applicable to the actual destination rather than applying a domestic Romanian example to an export order.

6. List the required technical documents

Send the relevant part of the specification and name the documents required for each product, such as technical data or installation instructions. Ristone checks availability for that product before quoting. A request for a document does not establish that the product has a particular certification or performance classification.

An example enquiry

Please quote for 14 four-way caps for finished pillars measuring 400 × 400 mm, plus three-way coping for a finished wall 300 mm thick. There are 13 clear runs of 2,700 mm, measured between the finished pillar faces. Colour: anthracite.

Please confirm the sizes, quantities, joints and cutting layout. Materials are needed on site by 15 March, before installation starts on 20 March. Delivery: [country, address and postcode]. Vehicle access: [details]. Unloading: [arrangements]. Required product documents: [list]. Billing details: [company and address].

Check the quotation before confirming

Check the product references, dimensions, units, quantities, transport scope, unloading arrangements, estimated lead time and payment terms. Confirm any batch or document requirements in writing. Small orders can be considered, with minimum quantities depending on the product, availability and packaging.

Ristone confirms receipt on the same working day and aims to respond to standard quotation requests within 24 working hours. Complex projects or quantities requiring further checks have a separately communicated timescale. The order becomes firm after Ristone’s confirmation.

Send your project enquiry with the schedule and drawings attached or referenced.

Before you order.

What if I have measurements but no bill of quantities?

Send the finished pillar dimensions, finished wall thickness and clear length of each wall run, or cladding areas with openings and corner heights. Ristone checks the quantities before confirming the order.

Can one batch be reserved for a phased project?

Batch reservation and phased delivery can be considered after the quantity and programme have been checked. Neither is guaranteed automatically.

Can you provide the documents in our specification?

List the required documents in the enquiry. Availability is checked for the particular product before the quotation; documents that do not exist are not promised.

Who pays the UK import and delivery costs?

The buyer pays transport, customs duties and import VAT. Confirm the transport quotation and import charges before ordering.
